Case Study: North West Anglia NHS Foundation Trust

North-West Anglia NHS Foundation Trust serves approximately 850,000 residents across three hospital sites and multiple outpatient centres. In line with the NHS 10 Year Plan, the Trust set out to move beyond short-term cost-cutting to find broader opportunities for digital transformation, process improvement and better allocation of staff time.

Working alongside Konica Minolta, the Trust deployed Intuitive BI dashboards to transform raw print, copy, and scan data into clear operational insights. Instead of basic volume totals, we provided granular visibility organised by named user and organisational area.

This detailed picture enabled transformation and digital teams to link volume spikes directly to underlying daily processes. By identifying specific high-volume activities, the Trust gained an evidence base to prioritise digital solutions such as electronic referrals, automated approvals, digital routing, and bedside ordering technology, where they would make the greatest impact.

Key outcomes and impact

  • Sustained cost and output control: Reduced colour printing from a historic 20–30% of total volume down to under 6%, placing the Trust significantly below comparable NHS benchmarks.
  • Revealed hidden paper workflows: Exposed extreme paper dependencies, including a catering process accounting for ~484,000 copies in 292 days (~3% of Trust output) and cardiology scanning that consumed one full working week of capacity every nine weeks.
  • Released staff capacity: Removed repetitive printing, scanning, and paper-distribution tasks, freeing up valuable staff hours to redirect toward direct patient care.
  • Targeted digital adoption: Established an evidence-based “top ten” user and workflow list, enabling leadership to deploy targeted digital tools rather than blanket restrictions.

“We were blown away by just how good the detail was on the dashboards. I don’t think any of us fully expected it to be at that level of detail and accuracy.”

Dale Travis, Director of Transformation and Improvement, North West Anglia NHS Foundation Trust
