Driving digital transformation through print data: Intuitive explains its game- changing approach

In today’s climate of rising staff costs, organisations across sectors are under pressure to ensure their teams are focused on high-value, productive work. This has accelerated the need for more efficient digital processes, especially in environments where paper-based workflows still dominate.

At Intuitive, we believe that Managed Print Services (MPS) providers are uniquely positioned to support this transition. Many traditional print suppliers are already expanding their offerings to include document management and process automation. But the real game-changer? Advanced print analytics.

By harnessing print data, MPS providers can:

  • Personalise customer engagement
  • Identify opportunities for digital transformation
  • Deliver measurable efficiencies

A data-driven approach to customer success

In a recent initiative with long standing partner Konica Minolta UK Ltd, Intuitive has developed a structured Customer Success Programme that puts print data at the heart of transformation. Intuitive’s Customer Success team are running data discovery sessions with end customers, diving deep into print, scan, and copy activity to uncover actionable insights.

Here’s how we help organisations rethink their print infrastructure:

1. Optimising Print Infrastructure

We identify inefficiencies such as large print jobs being sent to desktop printers instead of cost-effective print rooms. We also flag over-utilised devices that may need upgrading sooner than planned.

2. Managing Departmental Usage

By comparing departmental print costs per employee, we help organisations understand usage patterns across business cycles—and uncover the reasons behind them.

3. Understanding Individual User Activity

We analyse user-level data to highlight differences in printing behaviour within departments. When combined with job role data, this reveals opportunities for digitisation and process improvement.

4. Document Usage Insights

Printed documents offer a wealth of intelligence. We look at:

  • Frequently printed document names
  • Large documents printed at specific times
  • High-volume documents with generic titles like “forms” or “annual leave” that are ideal candidates for workflow automation

Real-World Impact

Our approach is already delivering tangible results across sectors, here are just a couple of examples:

Higher Education College use case

Intuitive dashboards gave the college visibility into its print activity, enabling smarter use of existing devices and better cost control. Surprisingly, the customer believed no scanning was taking place, yet our dashboards revealed over 30,000 scans per year.

This insight led to additional consulting days to understand what was being scanned and why. The result? A clear opportunity for a digital workflow upsell.

Adult Care Services Provider use case

This organisation operated across 30 locations with over 300 document types, and limited IT support. Care staff were spending 30–50% of their time on paperwork, detracting from direct care.

Our analysis showed that the “Hot Water Safety form” alone accounted for 60,000 prints and scans annually. By implementing an e-form solution, the time to complete each form dropped from 4 minutes to just 30 seconds, saving 4,000 hours or 2.4 FTE, equivalent to £60,000 per year.

Beyond cost savings, the customer committed to reviewing 10 more processes, and our partner established a strategic relationship that extended well beyond print.

Partner Feedback

“This programme developed in partnership with Intuitive is supporting the rapid evolution in our client engagement model. The collaboration between Konica Minolta and Intuitive is moving us beyond assumptions—by bringing data-driven insights to the forefront of customer conversations we are able to present clear benefits and value to our clients.”
